UAE E-Invoicing for QuickBooks Desktop — No Cloud Migration

QuickBooks Desktop has no public REST API, so TrustBill uses the Intuit QuickBooks Web Connector (QBWC) — a free Windows program that lives on the same PC as QuickBooks. QBWC polls TrustBill over HTTPS, sends a qbXML request to QuickBooks locally, receives the invoice data, and forwards it to TrustBill. We then convert the data to PINT-AE XML, validate it against FTA requirements, and submit it through our accredited ASP.

Setting up the QuickBooks Desktop integration takes a few minutes:

1. **Create your TrustBill account** — Sign up for free (no credit card required). 2. **Download QBWC** — Install the free Intuit QuickBooks Web Connector on your Windows PC. 3. **Download your .qwc file** — In TrustBill, add a QuickBooks Desktop source and download the connection file. 4. **Authorise QBWC** — Double-click the .qwc file, confirm the app in QuickBooks Desktop, and enter the one-time password shown in TrustBill. 5. **Test the sync** — Create a test invoice in QuickBooks Desktop and verify it appears in TrustBill with PINT-AE validation.

After setup, QBWC runs automatically in the background. No manual exports or file uploads are required.

TrustBill automatically converts QuickBooks Desktop invoice data to PINT-AE XML format, the UAE's national e-invoicing standard. The conversion handles all required data elements: invoice UUID, issue date, seller/buyer TRN, line-item details, VAT rates, and UAE-specific fields like free zone flags and margin scheme indicators.

TrustBill's QuickBooks Desktop integration includes:

- **QBWC connector** — Uses Intuit's supported Windows Web Connector for secure, read-only invoice access. - **No cloud migration** — Continue using QuickBooks Desktop on your existing PC. - **Automatic upload** — Invoices are extracted and uploaded without manual export. - **PINT-AE conversion** — Native data is transformed to UAE-standard XML. - **Error handling** — Validation errors are flagged with clear explanations and suggested fixes. - **Status tracking** — Monitor submission status (pending, submitted, accepted, rejected) per invoice. - **VAT 201 integration** — Submitted invoices auto-populate your VAT 201 return draft. - **Data residency** — All invoice data stays in UAE (AWS me-central-1).

TrustBill only requests the minimum read access needed to pull invoice data. We do not request permissions to create, modify, delete, or process payments in QuickBooks Desktop. All communication between QBWC and TrustBill uses TLS 1.3, and invoice data is encrypted at rest. The .qwc file contains no password; the password is entered separately into QBWC and is never stored by TrustBill.
