QuickBooks Desktop has no public REST API, so TrustBill uses the Intuit QuickBooks Web Connector (QBWC) β a free Windows program that lives on the same PC as QuickBooks. QBWC polls TrustBill over HTTPS, sends a qbXML request to QuickBooks locally, receives the invoice data, and forwards it to TrustBill. We then convert the data to PINT-AE XML, validate it against FTA requirements, and submit it through our accredited ASP.

Setting up the QuickBooks Desktop integration takes a few minutes:
1. **Create your TrustBill account** β Sign up for free (no credit card required). 2. **Download QBWC** β Install the free Intuit QuickBooks Web Connector on your Windows PC. 3. **Download your .qwc file** β In TrustBill, add a QuickBooks Desktop source and download the connection file. 4. **Authorise QBWC** β Double-click the .qwc file, confirm the app in QuickBooks Desktop, and enter the one-time password shown in TrustBill. 5. **Test the sync** β Create a test invoice in QuickBooks Desktop and verify it appears in TrustBill with PINT-AE validation.

Security and read-only access
TrustBill only requests the minimum read access needed to pull invoice data. We do not request permissions to create, modify, delete, or process payments in QuickBooks Desktop. All communication between QBWC and TrustBill uses TLS 1.3, and invoice data is encrypted at rest. The .qwc file contains no password; the password is entered separately into QBWC and is never stored by TrustBill.

Yes. QBWC needs QuickBooks Desktop open with your company file loaded to read invoice data. If QuickBooks is closed, polling pauses and TrustBill will show a stale-sync alert.

Yes. TrustBill uses read-only access, TLS 1.3 in transit, and AES-256-GCM at rest. Your QuickBooks company file never leaves your PC, and invoice data stays in the UAE.
What happens if an invoice is rejected?
Rejected invoices are flagged in the TrustBill dashboard with clear error explanations. You fix the issue in QuickBooks Desktop, and TrustBill re-submits the invoice on the next QBWC poll.
